We know that sending your student abroad is both exciting and a bit nerve-racking. Rest assured that Augusta University’s Study Abroad Office is committed to providing a safe, well-supported, and enriching experience for your student. This page offers key information on health & safety, finances, academic policies, and ways to support your student.

 Health & Safety: Our Top Priority

Your student's well-being is our top priority. Before, during, and after their travel. Our office follows comprehensive risk management protocols that include:

  • Pre-departure orientation covering health, safety, culture, and emergency preparedness
  • Mandatory travel insurance coverage for all students and faculty
  • 24/7 emergency response procedures in coordination with program leaders and partners abroad
  • Review of all programs by the Institutional Study Abroad Committee and, where applicable, provost-level approval
  • Monitoring of U.S. Department of State Travel Advisories, CDC guidelines, and on-the-ground developments in each country

Each program is led by trained Augusta University faculty and/or staff who are required to complete risk management training before departure.


What Happens in an Emergency?

We prepare for the “just in case” so that students are never without a plan.

Emergency Contact Card

Every student receives a wallet-sized emergency card with:

  • Local emergency numbers
  • Program Directors contact information
  • Housing addresses and phone numbers
  • Study Abroad Office and campus emergency numbers

Our Response Plan

  • 24/7 emergency phone access to Augusta University faculty and staff
  • Coordination with international partners, medical facilities, and insurance providers
  • Emergency relocation or evacuation procedures, if needed
  • Parental notification if the situation warrants it

Health and Wellness Support

Before travel, students are encouraged to meet with their healthcare provider and update routine vaccines. Students with chronic health concerns should speak with us directly to ensure proper accommodations and planning.

Mental Health Matters Too

Adjusting to a new culture can be overwhelming. We talk openly about culture shock, homesickness, and mental wellness during orientation, and we’re available throughout the program for check-ins or referrals.

  • Gallagher Insurance

 

Travel Insurance: We've Got You Covered

Every student is required to purchase AU-approved international travel insurance which includes:

  • Emergency medical care
  • Mental health support
  • Medical evacuation
  • Travel delay and baggage loss

Students can log into and view their medical coverage here.
*Faculty-led programs: insurance is included in program costs.
**SGT and IST: students must purchase insurance on their own.


Risk Monitoring and Program Review

We continuously assess program safety using:

  • State Department Travel Advisories
  • CDC Health Notices
  • Local reports from our partners
  • Feedback from returning students and faculty

ISAC reviews every faculty-led and small group travel program. Faculty leaders are trained in emergency response, FERPA, and Title IX compliance.

Understanding FERPA

The Family Educational Rights and Privacy Act (FERPA) protects students’ educational records, meaning our office cannot share certain information without the student's consent. We encourage open conversations with your students to stay informed about their experience abroad. Under FERPA, our office cannot release

  • Student’s contact information abroad
  • Program status
  • Enrollment details
  • Grades and transcripts
  • Course schedule information
  • Medical records
  • Housing details
