Traveling Internationally with Augusta University

If you are a faculty member participating in a faculty-led study abroad program, research, conference, or any other Augusta University-affiliated international activity, all international travelers are required to complete the steps below before departure.

These requirements are designed to help keep you safe, ensure compliance with university policies, and prepare you for a successful international experience.

Please understand and read the required checklist before you travel.

  • Passport Valid 6+ Months
  • Obtain Visa (if required)
  • Enroll in STEP
  • Register in InfoEd
  • Complete DUO International Request
  • Complete Travel Authorization Form
  • Purchase Insurance/Review Coverage
  • Review Travel Advisories
  • Get vaccines (if required)

Required Before You Travel

1. Obtain a Valid Passport

Your passport must:

  • Be signed
  • In good condition
  • Remain valid for at least six months beyond your return date

If you do not have a passport, apply as early as possible. Processing times may vary throughout the year.

2. Determine Whether a Visa Is Required

Some countries require U.S. citizens and international students to obtain a visa before arrival.

Faculty and students are responsible for:

  • Reviewing visa requirements
  • Obtaining required documentation
  • Paying any visa fees
  • Ensuring compliance with host-country immigration requirements

Note: Visa processing may take several weeks or months. Please plan accordingly.

3. Enroll in STEP

The U.S. Department of State’s Smart Traveler Enrollment Program (STEP) is strongly encouraged for all U.S. citizens. Benefits include:

  • Safety alerts and travel advisory updates
  • Emergency notifications
  • Assistance locating you during emergencies
  • Easier communication with U.S. embassies and consulates.

Note: International faculty and students should register their home country’s equivalent service if available.

4. Register University Devices and Request International DUO Access

Faculty and students traveling with Augusta University-issued devices or requiring access to university systems while abroad must complete the required technology security steps before departure. This includes:

  • Registering through InfoED
  • Submitting an International DUO Access Request
  • Complete Travel Authorization Form

Failure to complete these steps may prevent access to Augusta University email, Box, D2L, and other university systems. Additionally, these steps must be completed at least 60 days prior to departure to obtain university approval for travel.

5. Review Travel Advisories

All travelers should review current travel advisories before departure. Travel Advisory Levels:

  • Level 1 – Exercise Normal Precautions (Lowest risk level)
  • Level 2 – Exercise Increased Caution (Elevated risks exist)
  • Level 3 – Reconsider Travel (Significant safety concerns)*
  • Level 4 – Do Not Travel (Highest risk level)**

*Individuals traveling to locations with elevated advisory levels may be subject to additional review or restrictions.
**The University does not support or approve travel to locations with a Level 4 Travel Advisory.

Health & Safety

1. Health Preparation

  • Schedule any recommended vaccinations – CDC Travelers’ Health
  • Carry sufficient prescription medications
  • Carry a copy of important medical information
  • Never pack medications in checked luggage

2. Insurance Coverage

All travelers must maintain appropriate international insurance coverage while abroad. As an Augusta University employee and/or student, you qualify for Gallagher Insurance at $1.14 per day.

  • Gallagher website – purchase international travel and medical insurance
    • Enter school name: “Augusta University”
    • Choose plan year: “2026-27”
    • Select plan type: “Augusta University Direct Pay”
  • Augusta University Plan Brochure – review insurance coverage
  • Augusta University ID Card
  • Medical Claim Form
  • Carry your insurance card and emergency contact information at all times

If An Emergency Occurs Abroad

If immediate assistance is needed, contact local emergency services, and then reach out to the Study Abroad Office, your emergency contact, and your insurance provider if medical assistance is required.
