What’s the difference between a Project Request, Space Request, and Work Order Request?

  • A Project Request is used to modify and upgrade existing space or new building or an addition. Examples may include adding a wall to divide a conference room; new finishes i.e. new carpet, paint and ceilings; purchasing furniture; etc. Project Request Form
  • A Space Request is used for any change in the use, relocation, or reassignment of campus space. Space Request Form
  • A Work Order is used for reporting general maintenance and repair issues involving HVAC, plumbing, lights, leaks spills and electrical. Maintenance Request Form

I need to add a wall and door ln a large office. How do I request this?

  • Start with a space request to get approval from leadership for a change in the use of existing space. Submit a Space Request Form
  • Once the space request has been approved, proceed with a project request form. Submit a Project Request Form.

My department needs additional offices. How can we request more?

  • If you have no offices available in your current inventory, please submit a Space Request Form. If you have suggestions of where the offices could be, please note that information on the form.

Can I get my project encumbered before fiscal year end?

  • Every project is unique.  At the start of your project, the assigned project manager will sit with you to develop a project scope summary that will include a target schedule and budget.  This will capture the dependencies and factors that determine the length of the project including design time, procurement, and long lead materials.

    Small projects submitted before November 15th of the same fiscal year are more likely to be encumbered during the same fiscal year. Projects submitted before February 21st of the same fiscal year that require the services of an architect, engineer, or interior designer. Those services only are more than likely to be encumbered during the same fiscal year. Furniture Requests submitted before March 14th of the same fiscal year are more likely to be encumbered during the same fiscal year. However, every project is different and may require longer approval durations, design time, or procurement.  Please discuss any schedule constraints upfront with your project manager and be sure to include this information in your project request.

I do not know if department funds will fund a project. Are there estimated costs for reference?

  • Because projects require varying levels of infrastructure and other modifications, there is no “rule of thumb”.  However, please note your available budget when requesting a project and your project manager can guide you through that evaluation early in the process to ensure that your available budget aligns with any project that moves forward.

Who do I contact if I need assistance in ordering furniture?

  • If you require assistance with selecting products, obtaining quotes, and/or space planning, please fill out a project initiation via the Project Request Form.
